Small business tax documents checklist

Getting ready to file your taxes? Having the right documents on hand can make the process smoother, faster, and less stressful. This checklist will help you gather the key forms and financial information you may need, from income statements and homeownership documents to asset information and charitable contribution receipts. Staying organized now can help you avoid delays and help ensure you don’t miss out on valuable tax benefits. All Filers

  • SSN & DOB (Self, spouse, all dependents)
  • Copy of last year’s return
  • Bank account/routing number
  • Proof of dependents living in home (Medical bill, school records, etc)
  • Driver’s license

Income

  • W-2s from all employers
  • 1099s for all forms of income
  • 1099 R from retirement accounts
  • 1099 for interest and dividends brokerage statements
  • Social Security benefits

Home & Rental Property

  • 1098s: mortgage statements, principal resident, or investment property
  • Summary of rental income + expenses
  • Paid real estate taxes
  • Insurance premiums
  • Energy efficient upgrade receipts
  • Closing statement- new property purchased
  • Mileage (for rental related expenses Assets + Liabilities)

Assets + Liabilities

  • Any other assets or loan information Donations

Donations

  • Charitable contribution receipts for cash and non-cash donations
  • Volunteer expense deductions

Business Owners

  • Employee Identification Number (EIN)
  • Business income and expenses such as insurance, travel, and advertising.
  • 12/31 Bank Balances
  • List of assets and equipment
  • Mileage logs
  • Quarterly Taxes paid
  • Loan Balances
  • Annual Payroll Summary
  • Form 8829: Expenses related to qualified home office

Deductions

  • Medical/Dental Expenses
  • Health insurance payments
  • Retirement and contribution plans
  • Healthcare accounts such as HSA and select spending
  • Childcare expenses
  • Vehicle purchase sales tax
  • Moving expenses (if active military)
  • Adoption Expenses
  • Educational Expenses (loan interest/supplies/tuition)
